The Situation

A B2B marketplace with a 3-person sales team was manually handling every inbound lead that came through their platform. As their paid acquisition scaled, lead volume grew from 40 to 200 per week but the team stayed the same size. Every lead required manual research, ICP scoring, and a personalised follow-up written from scratch.

The team was spending more time qualifying leads than actually closing them. Pipeline velocity had stalled. Response times had stretched to 48 hours on average killing conversion at the most critical moment in the funnel.

The Challenge

The marketplace ran on a combination of HubSpot, Apollo, and a custom intake form none of which talked to each other. Lead data was incomplete by default. Scoring criteria existed only as institutional knowledge held by the founder.

VESSEL Qualify was deployed as a unified lead intelligence and follow-up agent across HubSpot and Apollo. The moment a lead enters the system, the agent enriches their profile with company size, funding stage, tech stack, and job title data then scores them against a custom ICP model built from the founder's own criteria.

Leads above the score threshold receive a personalised follow-up within 4 minutes. Leads below threshold are tagged, deprioritised, and queued for a monthly nurture sequence. The sales team sees only the leads that matter with full context already attached.

The agent was trained on 3 months of historical lead data and the founder's highest-converting email sequences before going live.
